Ticketool Event (167–169 Great Portland Street, 5th Floor, London, W1W 5PF) Organiser Terms and Conditions

These Terms and Conditions ("Agreement") apply to all Event Organisers using the Ticketool platform ("Ticketool", "we", "us", or "our"). By creating an event on Ticketool, you agree to the terms outlined below.

1. Ticketool Fees

Ticketool’s standard booking fee is 10% per ticket, with a minimum fee of £1.00 per ticket. This booking fee is paid by the customer and is not deducted from the Event Organiser’s payout.

In addition to the booking fee, Ticketool may charge the customer an order handling fee of £0.25 per customer order. This order handling fee is charged once per customer order, regardless of the number of tickets purchased in that order.

Booking fees, order handling fees and any other Ticketool service fees are together referred to in these Terms as “Ticketool Fees”.

Ticketool Fees are retained by Ticketool and are not deducted from, or included in, the Event Organiser’s payout, unless otherwise agreed in writing.

Ticketool reserves the right to vary booking fees, minimum charges, order handling fees or other Ticketool Fees on a case-by-case basis. These may be adjusted depending on ticket volume, promoter arrangements, or commercial considerations. Any such custom fee structures will be agreed in writing between Ticketool and the Event Organiser.

2. Payouts

Ticket revenue will be transferred to the Event Organiser no later than 10 days after the event has concluded. Ticketool may, at its discretion, process payouts earlier, particularly for weekend events.

Unless otherwise agreed in writing, Ticketool Fees are retained by Ticketool and do not form part of the Event Organiser’s ticket revenue. The Event Organiser’s payout is based on eligible face-value ticket revenue, subject to any refunds, chargebacks, disputes, deductions, reserves, or other amounts owed under these Terms.

All ticket payments are processed via Stripe Connect. Event Organisers must maintain a valid, fully verified Stripe account connected to Ticketool in order to receive payouts.

Ticketool will initiate transfer of eligible ticket revenue to the Event Organiser’s connected Stripe account after a short post-event holding period, typically 48–72 hours, to allow for refund processing, fraud monitoring, and dispute prevention.

Once funds have been transferred to the Event Organiser’s Stripe account, payout timing to the Event Organiser’s bank account is determined by Stripe, typically 1–3 business days, and is outside Ticketool’s control.

For newly created Stripe accounts, Stripe may apply an extended initial payout delay, commonly 7–14 days, for verification and security purposes. Ticketool is not responsible for delays caused by Stripe account verification, compliance reviews, or payout restrictions.

All timeframes refer to calendar days unless otherwise stated.

3. Refunds

Event Organisers are responsible for approving refund requests unless the event is cancelled or significantly changed. A significant change includes, but is not limited to, changes to the date, venue, line-up, or other key event details as originally listed.

Where an event is cancelled, rescheduled or significantly changed, the Event Organiser must notify Ticketool before processing customer refunds where reasonably possible, so that Ticketool can determine whether Ticketool Fees should also be refunded in accordance with Ticketool’s customer terms.

If an event is cancelled or significantly changed, Ticketool reserves the right to issue refunds directly to customers in accordance with Ticketool’s customer terms and applicable law.

Unless otherwise agreed in writing, the Event Organiser will be liable for the refunded face value of tickets, together with any chargebacks, payment processing costs, transaction costs or other non-recoverable charges relating to the event.

Ticketool Fees are non-refundable to customers except where required by law, where Ticketool decides otherwise, or where the refund is due to an error or breach by Ticketool.

If Ticketool chooses to refund Ticketool Fees as a goodwill or commercial decision, the Event Organiser will not be responsible for those refunded Ticketool Fees unless this has been agreed separately in writing.

Ticketool may retain ticket revenue for a reasonable period following the event, including the 48–72 hour post-event window referenced above, to allow for the processing of refunds, disputes, or suspected fraudulent transactions before initiating payout.

4. Payment Processing Fees and Non-Refundable Charges

If an event is cancelled or significantly changed, the Event Organiser is responsible for covering any non-refundable payment processing fees, transaction costs, chargeback fees or other non-recoverable charges incurred in connection with the event. These may be deducted from future payouts or invoiced separately.

For the avoidance of doubt, Ticketool Fees are dealt with separately under Section 3.

5. Chargebacks and Fraud

In the event of a payment dispute or chargeback, the Event Organiser is responsible for any associated costs, including chargeback fees and refunded amounts, unless the dispute arises from an error by Ticketool. These costs may be deducted from future payouts or invoiced directly.

Ticketool reserves the right to withhold current or future payouts, retain reserve funds, or offset amounts owed against future ticket sales where necessary to cover refunds, disputes, chargebacks, or unpaid fees.

6. Use of Customer Data

Ticketool provides Event Organisers with limited access to customer data for event management purposes only. This includes attendee names and email addresses for communicating essential information about their event.

Organisers may only contact attendees through the Ticketool platform unless the customer has explicitly opted in to receive marketing from the Event Organiser during checkout. In such cases, the organiser will receive the customer’s name, email, and event details, including event name, date, and venue.

Organisers agree to comply with all applicable data protection laws, including the UK GDPR, and to indemnify Ticketool against any misuse of customer data.

7. Ticket Types, Pricing, and Controls

Event Organisers are responsible for setting their own ticket types, prices, and allocation limits. This includes creating multiple ticket tiers such as general admission, early bird, and VIP.

Ticketool reserves the right to review, modify, or suspend ticket listings or event setups if there is reason to believe they are misleading, fraudulent, or may damage the platform’s reputation. In such cases, Ticketool may take control of the event listing or ticketing until resolved.

8. Event Cancellation, Suspension & Account Closure

If an Event Organiser cancels an event, they must notify Ticketool immediately and ensure all affected ticket holders are refunded in accordance with Ticketool’s customer terms and applicable law. This includes covering the face value of affected tickets, together with any non-refundable payment processing fees, transaction costs and associated charges.

Ticketool reserves the right to remove, suspend, or modify any event or organiser account found to be in breach of these terms or acting in a way that harms Ticketool’s brand or users. Funds may be withheld to cover potential refunds, chargebacks, or damages.

Ticketool may also retain a temporary rolling reserve from ticket revenue where reasonably required to protect against refunds, disputes, or fraud. Any such reserve will be proportionate and released once the relevant financial risk period has passed.

Organisers may request to close their account by contacting Ticketool in writing, provided there are no upcoming events, disputes, or unpaid balances. Data will be handled in line with our Privacy Policy and applicable law.

9. Use of Branding & Promotional Materials

Ticketool may use the Event Organiser’s name, logo, and event details for promotional purposes on its platform and marketing channels. Likewise, Event Organisers may use the Ticketool name and logo to promote ticketing for their event.

Either party may request the removal of their branding from promotional materials by written notice.

10. General Terms

This Agreement is governed by the laws of England and Wales. Any disputes will fall under the exclusive jurisdiction of the courts of England and Wales.

Ticketool reserves the right to update these terms at any time. Material changes will be communicated via email or platform notification. Continued use of the platform after such updates constitutes acceptance of the revised terms.

If any part of this Agreement is found to be invalid or unenforceable, the remaining provisions will remain in full force and effect.

The Event Organiser agrees to indemnify and hold harmless Ticketool, its directors, employees, and agents from and against any claims, losses, liabilities, damages, costs, or expenses, including reasonable legal fees, arising out of or in connection with: (a) the organisation, promotion, or delivery of the event; (b) any breach of these Terms by the Event Organiser; (c) any refunds, chargebacks, disputes, or customer claims relating to the event; or (d) the Event Organiser’s misuse of customer data or violation of applicable laws or regulations. This indemnity shall survive the cancellation of an event or termination of the Event Organiser’s account.
